About the Payroll Coordinator (Fiscal Specialist 2)

Under the general direction of the Payroll and Benefits Manager, this position coordinates and performs detailed payroll transactions for the Employee Compensation Department. Responsibilities include maintaining payroll records, reviewing and entering payroll data, preparing semi-monthly payroll, reconciling accounts, and ensuring compliance with state and federal regulations.

Duties and Responsibilities

  • Coordinate payroll procedures, deadlines, and pay period schedules.

  • Input, review, and audit payroll and personnel data and process necessary pay adjustments.

  • Maintain payroll records and ensure taxes, deductions, and contributions are accurate and balanced.

  • Reconcile payroll wages, deductions, and contributions with accounting records.

  • Process leave accruals, timesheets, time and labor, absences, and deductions.

  • Maintain payroll systems and serve as liaison with the State Board regarding PeopleSoft (ctcLink) payroll processing.

  • Prepare and maintain employee payroll files, reports, and records.

  • Assist employees with payroll processes, earnings, deductions, and schedules.

  • Ensure compliance with policies, regulations, and collective bargaining agreements.

Minimum Qualifications

  • Two years of full-time experience equivalent to Fiscal Specialist 1 and 15 quarter or 10 semester hours of college-level accounting, or equivalent education/experience.

  • Payroll processing experience and knowledge of payroll rules and regulations.

  • Experience with computerized payroll systems.

  • Proficiency with Microsoft Excel, Word, Outlook, database software, and online reporting.

  • Strong communication, customer service, organization, and attention to detail.

  • Ability to manage multiple deadlines, maintain confidentiality, and work independently.

Desired Qualifications

  • PeopleSoft ERP experience.

  • Higher education or government experience.

  • Knowledge of federal and Washington State payroll regulations.

  • Experience running payroll queries and audit reports.

Position Details

Full-time, 12 months, 40 hours per week. This position is overtime eligible and requires a criminal background check.
