Position Overview

The Accounts Payable Specialist performs full-cycle accounts payable functions, including invoice processing, voucher preparation, vendor reconciliation, and deposit recording. This position ensures timely and accurate payments, supports audit preparation, and maintains compliance with agency accounting policies. The position also provides limited backup assistance for payroll processes when needed.

Essential Functions and Responsibilities

Accounts Payable

  • Prepare and process vouchers with proper documentation for approval and payment to submit through the Spokane County Treasurer’s warrant process. 
  • Review and code vendor and subcontractor invoices accurately.
  • Reconcile vendor statements and resolve discrepancies.
  • Prepare deposits and submit to the appropriate financial institutions including the Spokane County Treasurer’s Office.
  • Maintain vendor files and contract documentation.
  • Assist with fixed asset tracking and inventory reconciliation.
  • Support the Accounting Manager and Senior Accountant during audits and monitoring visits.

Accounting Support

  • Enter financial transactions into the accounting system with accuracy.
  • Assist in reconciling cash and accounts payable balances.
  • Provide backup support to payroll during absences or high-volume periods.
  • Assist in preparing reports, spreadsheets, and documentation as assigned.

 

 

Required Skills and Abilities

  • Knowledge of bookkeeping and accounting procedures.
  • Proficiency in accounting software and Microsoft Excel.
  • Ability to make accurate mathematical computations.
  • Strong attention to detail and organizational skills.
  • Effective verbal and written communication skills.
  • Ability to maintain confidentiality of sensitive information.

 

 

Physical Demands

  • Proficient in typing and keyboarding with manual dexterity for accurate repetitive tasks and occasional periods of writing. Typing and keyboarding includes up to 7.5 hours per day.
  • Strong verbal communication including speech, visual, and hearing skills for interacting with clients, colleagues, and the public. 
  • Ability to sit for extended periods and maintain good hand-eye coordination. 
  • Capable of performing tasks that involve bending, stretching, stooping, reaching, and occasional climbing.
  • Ability to lift and move objects up to 20 lbs. and work in various environmental conditions including office and remote settings. 
  • Ability to speak and listen is adequate for interacting with both employees and the public.
  • Local driving for bank deposits may be required (average 5–10 miles per month).

Minimum Qualifications

Associate degree in Accounting or related field, and two years of relevant experience, or equivalent combination. Must meet the skills, knowledge, and abilities listed above.

Must pass a criminal background check, post offer.  Must have and maintain a valid form of ID. Must have access to reliable transportation and be willing to travel.
