VIP Production Northwest is looking for a reliable, friendly, and detail-oriented team member to be the face of our company at the front desk. This role is perfect for someone who enjoys a fast-paced environment, loves staying organized, and is excited to assist with everything from customer service and rental support to keeping our sales floor looking great.

As a key part of our team, you’ll help create a welcoming experience for our customers, assist with rental transactions, answer and direct calls, and ensure our showroom is stocked, clean, and up-to-date. Primary Responsibilities (include but are not limited to):

  • Greet customers and visitors with a professional and friendly attitude
  • Answer and direct phone calls and front desk inquiries to the appropriate team members
  • Stock the showroom floor with retail items and maintain a clean, organized appearance
  • Ensure all product pricing on the sales floor is accurate and up-to-date
  • Assist with rental transactions:
  • Provide rental quotes
  • Process payments
  • Help pull rental gear when needed
  • Keep the conference room tidy and prepped for internal and external meetings
  • Support office staff with general administrative tasks and errands as requested

Additional Responsibilities:

Customer Support & Communication

  • Respond to general inquiry emails or forward them as needed
  • Assist walk-in customers with basic questions about gear or rentals
  • Collect and communicate customer feedback

Inventory & Merchandising

  • Identify and report damaged or outdated products on the sales floor
  • Label/tag new retail items and assist with display setup
  • Maintain cleanliness of demo equipment and product displays

Rental Coordination Support

  • Monitor return dates and assist with following up on overdue rentals
  • Help print and prepare rental documentation
  • Coordinate with warehouse staff to ensure accuracy and timing of rental orders

Administrative & General Office

  • Maintain updated forms, catalogs, and promotional materials at the front desk
  • Assist with basic data entry into rental or inventory systems (if trained)
  • Help set up internal events, training days, or presentations

Light Marketing Support (Optional)

  • Assist with in-store signage or promotion displays
  • Support social media or marketing efforts with occasional photos or content ideas
  • Track foot traffic or customer interest trends on the sales floor

JOB SKILLS & QUALIFICATIONS

  • 2 years of front desk experience
  • Experience with audio, lighting, video, and rigging equipment and concepts
  • Capable of preserving confidential or sensitive information
  • Highly organized and effective with time management
  • Excellent verbal and written communication skills
